 Capital projects were tracked inconsistently across teams, with limited visibility into status, approvals, and financial impact. Information lived in multiple places, making forecasting difficult.

Using Smartsheet, we designed a centralized project tracking system that standardized project costs and change tracking. The system was quickly adopted, and forecasting and fee calculations became more reliable for leadership.

 Leadership reporting relied on fragmented data sources and ad-hoc spreadsheets, making key metrics difficult to reconcile and trust.

Using Zapier, we connected Excel-based data that needed to remain in Excel with active Smartsheet workflows, consolidating reporting into a single, reliable dataset. Leadership gained a clear, high-level view of performance without added manual effort from the finance team.

 Tenant onboarding was previously managed through manual, inconsistent processes that varied by property and lease type.

Intake of Smartsheet lease data triggered a standardized tenant onboarding workflow in Process Street, introducing structured task sequencing, clear ownership, and conditional logic to support different scenarios. The result was improved consistency, accountability, and visibility across leasing, operations, and accounting teams.

Safety inspections and equipment servicing were tracked inconsistently, relying on informal requests and manual follow-up, increasing operational risk.

We designed a structured intake process to capture equipment service requests. Automated workflows routed requests for review and approval, dispatched work to the appropriate teams, and updated centralized dashboards showing open items, status, and trends. The result was clearer accountability, faster response times, and reliable visibility into safety and compliance activity.

 Reporting deadlines and financial submittals were tracked in outdated tools. We built a centralized accounting calendar in Smartsheet to track reporting deadlines, required deliverables, and ownership across departments. 

Using Smartsheet Calendar, deadlines were visualized in a shared, dynamic way that updated automatically as requirements changed. Teams gained clearer visibility into upcoming work, improved coordination across groups, and reduced last-minute scrambles.

Using Smartsheet Control Center, we designed a standardized project scheduling framework that allowed new projects to be provisioned consistently with predefined templates, governance, and reporting structures. 

This approach enabled scalable project tracking, standardized schedules, and automated roll-up reporting for leadership, without sacrificing flexibility at the project level.
